New Features

New Disposition Filter: Advanced Query

A new option has been added to the retention page, which allows any saved Advanced Query to be used as a filter for Disposition. These options work with existing filters to help record managers pinpoint the exact records they want to include.

Query Against Results with Sub Query

All tabs now include the option to search within a result set only. Using the ‘Sub Query’ button, users can focus the search on the current result list instead of the entire data set.

Page Navigation for Data Entry Views

Users can now page through the results of the displayed query from the individual record page without having to return to the Home Page Grid. Supported actions are First, Previous, Next, and Last. An application preference controls whether the entire query will be used as the underlying record set (for more expansive results) or just the current page (for better performance).

Expanded E-Signatures

Highly regulated customers can now apply additional authentication to additional actions that include: Transfer, Transfer Home, Disposition Decisions, and Request delivery or pickup.

Note: Keep in mind that this functionality will work with forms authentication and OKTA SSO only!

Merge Records

Multiple records can now be merged into a single record. Users can pinpoint which records will be the ‘Child’ or ‘Parent’ record. This feature includes new security rights and audit trails for indicating which records were merged.

Configurable Date Format Settings

Administrators have a new application setting that offers a choice of date formats for use in the system. Furthermore, date formats for Exports, Export Profiles, Imports, and Import profiles are all individually configurable.

Billing updates

Several options have been added to improve the billing experience, including

• Support for charges of multiple item types

• Multiple multipliers

• Removal of ‘Order by’ constraints

Thumbnails for eDocs

Gimmal Physical now supports image thumbnails on the Home Page Grid and View pages for electronic document content. The thumbnail will show a miniature of an image or the icon if it is a standard known file type. When this feature is enabled, thumbnails will automatically be created when the document is uploaded. For existing content, there is a bulk update option available.

Modernize REST Service APIs

To improve security and enable customers to expand the functionality of Gimmal Physical, a number of enhancements have been added to the REST Services, including support for:

• Bearer token based authentication

• Certificate based authentication

• Updated error logging with expanded messaging to aid in troubleshooting

• Pagination of results to support larger data sets

• Options for enforced security for users

• Viewing and updating values from Drop Down Lists (e.g. Circulation History)

• Additional search operators to bring parity to Core search (e.g.,>,<, IS NULL, IS NOT NULL, Today, Tomorrow, Yesterday)

• Read-Only access to Audit history

A new version of the Rest Services Technical Guide has been produced for version 4.2 to help developers navigate these options.

Updated Connectors

The connectors used to transmit data from outside Gimmal Physical into the system have all been updated. Changes include:

• Updated authentication options

• Improved error handling and messaging

• Refreshed interface

• Modernized technology

Additionally, the connectors have been updated individually:

ScannerConnect

Support for tethered scanners now includes

• Integrated Circulation History options

• Parallel or sequential approval steps

• User-level barcode security options to prevent mis-keyed barcodes

PortableConnect

• Android based Portable scanners have additional options added

• New APK for supporting Android 15/16

FileConnect

• New Authentication Options section

• Local log file storage

• Choices of logging level to aid in troubleshooting

Security Enhancements

In addition to the improvements in authentication and e-signatures (see above), security enhancements have been added to the application, including options to:

• Use application settings for the base URL

• Restrict file types in uploads of digital content or eDocs

• SSO authentication configuration has been moved to the application settings

• Creation of a new bearer token from the application settings

Miscellaneous

• Transfer Home is now a separate right

• Usability Improvements

  • The scroll is maintained on data entry pages

  • Improved messaging for requests/fulfilling/deleting, and errors

  • Pop-up hyperlinks for Large List controls

  • Delete is now available for previously printed labels

• The Role of the logged-in user has been added to the profile card

• Efficiency improvements

  • Long database timeout is now used for disposition

  • Limits for reports and queries now have separate preferences
