Preferences for Data Tabs

Each Item Type has its own Data Tab shown in the left navigation menu of the Home page screen. Each of these Data Tabs will have a corresponding node in the left-hand Preference menu, but the options available to configure may differ for each.

Data Tab (Item Type) options can include items that are transferable (e.g., Boxes, Files, Digital Content) and non-transferable ‘Logical’ types (e.g., Disposition Notices, Legal Holds, Locations, Invoices, etc.).

There will be a Preference menu item for each Data Tab configured in your Gimmal Physical system. However, the names and tabs listed may differ from the examples below based upon your unique configuration.

Listed below are common Data Tab preferences applicable to most Data Tab (Item Types):

Controls whether new items will have default values available from previous entries (known as ‘Carry Forward’)

Record field value changes in history

Controls whether Gimmal Physical will create an application history audit entry whenever a field value is changed

Default Barcode value to use for the associated location in a new item of this type. This option can help speed up data entry and reduce errors.

Note: The Search button can be used to help locate the correct Barcode.

Auto-query on Transfer and Request pages**

Controls whether all applicable records are queried automatically (returning all items) on the Transfer and Request page.

Check-out quantity limit

User-entered numeric field

A user’s current requests and items in their possession may not surpass this preference.

If set to 0, there is no limit.

Display contents column on home page**

  • Yes

  • No

Controls whether the contents summary of a location will be displayed on the home page grid.

This has significant performance implications and should be changed only by a Gimmal Physical Administrator after consulting Gimmal Physical technical staff.

Apply hold to the container of a [item]

  • Yes

  • No

Controls whether a hold should be applied to a container of an item if that item is put on hold.

These options may be disabled based on other configuration constraints.

Enable past due notifications*

  • Yes

  • No

Controls whether notifications will be sent to alert users of past due records for items of this type.

Check-out time limit*

User-entered numeric field

Amount of time (in days) that a user can have an item before being considered overdue.

Display associations column on home page

  • Yes

  • No

Controls whether to display associated records on the home page grid. 

 * This will appear only if the Data Tab is moveable (e.g., Files or Boxes)

** This will appear only if the Data Tab can contain other Item Types (e.g., Boxes).
