Release Notes (6.0 On-Premises)

New Features

All components in the Gimmal Records 6.0 on-premises release have had a user interface refresh with updated branding. Installers have been updated to match the latest functionality, and all elements have been modernized to include optimizations for performance.

Core

User Interface Refresh

The look and feel of Gimmal Records has been updated to modernize the solution and facilitate integration with the Gimmal product suite. Changes include:

  • Choice of Theme: Dark (blue) or Light

  • Updated interface with streamlined menu and navigation options

  • Collapsible left menu with modernized navigation icons

Inbox Improvements

Users navigating the Gimmal Records Inbox will find a number of added usability enhancements. Updates include:

  • Improved Inbox Action performance

  • New operators for filtering (e.g., ‘Contains', 'Starts with’, etc.) have been added to text fields

  • Support for multi-column sorts

  • Separate views for Case-Based records and Administrative records

Lifecycle Processing Service (LPS) Improvements

Enhancements have been added to improve the performance and functionality of the lifecycle processing service (LPS).  This includes the introduction of a new job queueing framework for Life Cycle Processing to improve scalability and reliability.

  • Local message tracking via a database table to monitor job status and ensure completion.

  • Support for automatic retries of failed messages to enhance fault tolerance.

Notification Scheduling Improvements

Additional options now allow for fine-tuning schedules to pinpoint sending notifications.

Improved Password Security

To keep Gimmal Records current with security standards, any new non-SSO passwords will need to meet a minimum of 12 characters in length.

Note: Existing passwords will not be affected.

Configurable Expiration Dates in Inbox

The number of expired items available to be viewed in the Inbox can now be adjusted by selecting the default number of days before expiration.

Alert for Lifecycle without Approval

When saving a new or modified Lifecycle, an alert will inform the user if the Lifecycle contains phases that have ‘Require Approvals’ unselected.

Configure Session Timeout

Administrators can now configure session timeouts applicable to all users. This functionality is found in the Global Preferences.

New Operators

"Is Blank" and "Is Not Blank" operators added to Classification and Trigger Rules.

Batch Disposition*

 A new method for approving records for disposition has been introduced to Gimmal Records. This optional feature gives administrators the ability to group records ready for disposition into batches created at scheduled intervals. This functionality allows more granular control of approvals and reporting.

SharePoint Online Connector (SPOC)

A new SharePoint token called @sp.modified has been added to the property bag. The @sp.modified value will return the value for the SharePoint Modified property (SPBuiltInFieldId.Modified) for SharePoint records. Note: A full crawl will populate this value for existing records. Any newly modified file will be updated in an incremental crawl.

Service Improvements

Enhancements have been added to improve the performance and functionality of the SPOC processing service, including:

o   Optimized memory management

o   Improved performance of the incremental classification jobs

Improved Logging

Validation errors are better handled by increasing the number of characters for Title fields to 800 and adding more details for any further validation errors.

'Title' value change

Responding to customer feedback indicating the default ‘Title’ value was not helpful for identifying SharePoint files in a list, the value used for the clickable ‘Title’ column in the user interface will be the DisplayName property, if available.

Universal File Share Connector (UFSC)

The core assemblies of the Universal File Share Connector have been updated to support the most recent LTS version of Microsoft .NET.

Box Connector

Optimizations have been added to make the custom and incremental classifications more robust and performant.

Changes of Note

  • Gimmal is now testing SharePoint Server with SharePoint Server Subscription Edition as part of our standard QA process.

  • The format of the on-premises Release Notes is now consistent with the Cloud version.

  • The Migration Utility installation files have been removed from the Gimmal installer. Please see this article for more details.
    Please note: The Migration Utility is intended to be used in conjunction with Gimmal professional services.

  • The Telerik Standalone Report Designer has been moved out of the installer and is now available for download on the Customer Software Downloads site.

  • Documentation for versions 5.2.2 and below has been removed from the website. PDF files for the older version documentation will be made available on the download site upon request.

  • FileNet Connector has been deprecated.

  • Search Connector has been deprecated.

Upgrade Notes

  • The Gimmal Records 6.0 can only be upgraded from versions 5.x and above. Any prior versions can and must first be upgraded to version 5.0.

  • Stop all connectors before upgrading the core service.

End-of-Life Update

  • Gimmal Records versions 5.2.3 and older are officially out of support.

  • The end-of-life date for versions 5.2.4 and 5.2.5 has been set to 3/24/2027.

General Availability

  • The 6.0 version of the Core, SPOC, and UFSC components were released on September 24, 2025

  • The 6.0 version of the Box Connector was released on October 20, 2025.

  • The release of version 6.0 of the remaining components is scheduled for Q4, 2025.
